CNA Training Academy is dedicated to maintaining a safe, respectful, and supportive learning environment. All students are expected to follow the policies outlined below to ensure the highest standards of professionalism and academic success.
Finance Policies
- Tuition must be paid in full before the first day of class unless an approved payment plan is in place.
- Students on payment plans must follow their payment schedule. Failure to do so may result in removal from class.
- Students funded by third-party sponsors (Oklahoma Workforce, Tribal programs, etc.) must have funding approval prior to the start of class.
- Students are responsible for additional fees not covered by tuition, including: CPR course if not already completed, TB test, background check fees (if applicable), uniform replacement, rescheduling fees, and retesting fees.
- Tuition and fees are non-transferable.
Refund Policy
CNA Training Academy complies with the Oklahoma Board of Private Vocational Schools Refund Policy (Section 565:10-11-3). Below is a summary for student reference:
Termination Date
The termination date used for refund calculation is the student’s last date of attendance.
Refund Guidelines
- Applicant Rejected: Full refund minus application fee (not to exceed $25).
- 3-Day Cancellation: Full refund if requested within 3 days after signing enrollment agreement and making initial payment.
- Cancellation After 3 Days: Refund minus 15% of program cost, not exceeding $150.
- Withdrawal Within First Week: School may retain 10% of tuition plus $150, not to exceed $350.
- Withdrawal Within First 25% of Course: School may retain 25% of tuition plus $150.
- Withdrawal After 25% but Before 50%: School may retain 50% of tuition plus $150.
- After 50% of Program Completion: No refund will be issued.
- Special Circumstances: Illness, death in family, or similar situations will receive a fair settlement.
- School Cancels a Class: All funds refunded to the financing agency or student.
- Short Courses Under 100 Hours:
- 100% refund minus $10 if withdrawal before second class
- No refund after second class begins or for books/supplies issued
Additional Notes
- Refunds issued within 30 days (if payable to student) or 60 days (if payable to funding agency) after termination/cancellation.
- Students are not responsible for periods they did not attend.
- Extra charges listed separately (books, supplies, equipment) are not included in refund and are not refundable once issued.
Attendance Policy
Healthcare training requires commitment. Attendance is mandatory for classroom, skills lab, and clinical training.
- Students must attend all scheduled hours to meet state training requirements.
- Tardiness and early departure are not permitted and may result in make-up fees or dismissal.
- Missed time must be made up at the instructor’s discretion and may incur a rescheduling fee.
- Failure to complete required hours may delay graduation and state testing eligibility.
Clinical attendance is critical. Students who miss clinicals without prior approval may be removed from the program.
Grievance Policy
CNA Training Academy is committed to fairness and transparency. Students who have concerns are encouraged to follow the grievance process:
- Address the concern directly with the instructor or staff member involved, if possible.
- If unresolved, submit a written grievance to the Program Director within five (5) business days.
- Administration will review and respond within ten (10) business days.
- If still unresolved, students may escalate to the appropriate state oversight agency as allowed by regulation.
We are committed to working with each student to resolve concerns promptly and professionally.
Student Conduct Policy
Students are expected to maintain professionalism at all times. Violations may result in disciplinary action, including dismissal.
Students Must:
- Demonstrate respect toward faculty, peers, and clinical partners.
- Maintain proper hygiene and professional appearance.
- Follow class and clinical safety procedures.
- Use courteous and appropriate language and behavior.
- Protect patient privacy and comply with HIPAA standards.
Prohibited Behaviors:
- Disruptive or disrespectful conduct
- Harassment, bullying, or discrimination
- Cheating, falsification of documents, or academic dishonesty
- Theft or property damage
- Being under the influence of drugs or alcohol
- Violation of privacy or confidentiality rules
